Specify the event, state transitions and exception route

A workflow is only understandable when users can see where a case is and what happens next.

Define each transition

For every step, record its trigger, preconditions, inputs, expected output and owner. Specify the state change and the evidence needed before the next step is allowed.

Review permissions and data minimisation at every boundary. Actions that change an external record need controls for duplicate events, failed writes and correction.

An interrupted response may leave it unclear whether a downstream action succeeded. Before retrying, the design needs a way to reconcile the current state and assign ambiguous cases to an owner.

Design the exception and recovery path

Name the person or team that receives an exception and give them enough context to act. Test timeouts, invalid data, unavailable dependencies and interruptions after partial completion.

Compare a bounded workflow test with the documented current process. Decide in advance what evidence supports continuation and what conditions require a stop.
